POSITION CONCEPT:
Under the direction of the Senior Director of Operations, the Associate Director of Facilities is responsible for overseeing all facilities operations for the Boston Center for the Arts (BCA). The Associate Director of Facilities will oversee facility infrastructure, building systems and services, safety and security programs, building maintenance and modifications, management control systems, operating policy and procedures and facility. The Associate Director of Facilities is tasked with directing routine maintenance, delegating and responding to emergencies, managing risk, managing BCA maintenance technicians, managing contractors, and conducting site inspections. The Associate Director of Facilities collaborates to develop and implement all site policies, procedures, programs, and systems. This position works with the Senior Director of Operations to develop long and short-range maintenance planning. This individual must show maturity, leadership, and an ability to effectively communicate and follow the mission of BCA and the policies of BCA Leadership.

Responsibilities include:

The duties of this position include, but are not limited to, the following:

  • Provide oversight of facility infrastructure, building systems and services, safety and security programs, building maintenance and modifications, management control systems, operating policy and procedures and facility planning.
  • Coordinate large and small construction or renovation projects, including deferred maintenance projects, with architects and contractors.
  • Provide technical expertise regarding assigned functions; formulate and develop policies and procedures to ensure BCA facilities comply with state, community, and city laws and regulations.
  • Monitor the safety and cleanliness of the interior and exterior areas such as offices, venues, the outdoor plaza space, and Clarendon Street alley.
  • Supervise and delegate projects and tasks to facilities staff and other vendors, including the assignment of work and follow-through on the completion of work, maintaining day-to-day operations, routine inspection of common areas, scheduling of special projects, coordinating event needs, performing preventive maintenance work orders and scheduling these repairs.
  • Manage seasonal grounds work, including raking, sweeping, shoveling, and trimming. 
  • Negotiate contracts with service providers, inspecting facilities to meet safety regulations, and coordinating renovations and updates.
  • Keep concise, accurate records for work performed and equipment purchased for the property utilizing BOX, our cloud content management system.
  • Create reports on maintenance, repairs, safety, compliance, and other occurrences for supervisors and related staff.
  • Fulfill and coordinate emergency on-call responsibilities in collaboration with BCA Maintenance Technician. Must have a current valid driver’s license and a reliable method of transportation to respond to such emergencies.
  • Maintain records of utility usage and investigate any inconsistencies in usage. Make energy-saving recommendations.
  • Maintain inventory of all maintenance equipment, tools, and parts belonging to BCA.
  • Collaborate with the Senior Director of Operations on budgeting for facilities needs.
  • Attend meetings and serve on teams as assigned.
  • Provide technical support to BCA staff and contractors.
  • Other duties as assigned.

QUALIFICATIONS:

The successful candidate will possess most, if not all, of the following skills, experience, and attributes:

Knowledge and Experience:

  • 5+ years in a Facilities Management role, preferably working in the non-profit sector and/or with historical buildings.
  • Proven effectiveness as a staff manager, including knowledge of professional development, performance appraisal, and equity, diversity, and inclusion practices.
  • Familiarity with construction practices and laws governing the construction, maintenance, and repair of historic and public buildings.
  • Excellent written and oral communication skills necessary for regular contact with professional peers, staff, patrons, contractors, and city officials.
  • Experience working in a collaborative environment.
  • Strong computer skills, including proficiency with  Microsoft Office Suite, Google Suite, Zoom/Google Meet, and CAD software.
  • Experience creating, organizing, and executing comprehensive facilities management plans.

POSITION CONCEPT:
Boston Center for the Arts seeks to add a forward-thinking and strategic Director of Institutional Giving to our expanding Development Team. Supported by the Development Coordinator and in collaboration with the Senior Director of Development, the Director of Institutional Giving will strategize relationships with foundation, government, and corporate funders, and successfully secure funding as the organization continues to build its combined base of contributed support toward a goal of $1.7m for the current fiscal year.

Responsibilities include:

The duties of this position include, but are not limited to, the following:

  • Secure ~$1 million in funding from institutional sources each fiscal year.
  • In collaboration with other Development staff and the CEO, manage all aspects of foundation, government, and corporate donor relations, including, but not limited to: coordinating introductory and update meetings with program officers, soliciting funds, cultivating new funders, effectively stewarding relationships with current funders, and maintaining accounting and record-keeping for grant reports.
  • Research and submit successful applications for foundation, government, and corporate grants to support BCA programs, operations, and organizational initiatives.
  • In collaboration with BCA Finance, maintain and successfully manage an institutional giving timeline to ensure timely submission of proposals, progress reports, and final reports.
  • Maintain regular and courteous contact with all funders, including letters, emails, phone calls, invitations, and personal visits.
  • Participate in budget planning, goal setting, and strategic planning to assist with the creation of the Development Team’s annual operating plans.
  • Work in collaboration with Marketing & Communications and Artistic Programming staff to develop, manage, and implement all fundraising event sponsorship opportunities and in-kind donations for organizational events and artistic program initiatives.
  • ​​​​​​​Together with Marketing & Communications, establish and manage institutional marketing agreements for sponsor recognition.
  • Establish, organize, and implement solicitation and cultivation strategies to fully leverage networks established by members of the BCA staff, Board of Directors, community partners, and new business relationships.
  • Attend meetings of the Board of Directors and Board committees as requested.
  • Attend all required staff and departmental meetings, and work collaboratively with all BCA staff.
  • Provide professional development resources and mentorship for BCA resident artists when requested.
  • Support all BCA programs and special events as requested. Some attendance at evening and weekend performances and events will be required.

QUALIFICATIONS:

  • Bachelor’s degree in higher arts administration or related field preferred.
  • Minimum of 4 to 7 years of experience in institutional fundraising and foundation relations, with significant grant writing and grant submission experience.
  • Must demonstrate a successful track record of five- and six-figure awards from foundations, government, and corporate sources.

POSITION CONCEPT:

The Senior Accountant is responsible for the daily accounting operations of the BCA. The Senior Accountant performs all accounting and bookkeeping needs, prepares financial reporting, manages accounts payable and accounts receivable, supports the annual audit, and performs certain functions related to human resources and other duties associated with the financial management of a mid-size nonprofit organization. The Senior Accountant reports to the Chief Executive Officer and Controller.

Skills required include: thorough working knowledge of business and financial practices associated with nonprofits; thorough knowledge of GAAP; and strong communication and time management skills. This individual must show exceptional maturity and an ability to effectively communicate and follow the mission of the BCA and the policies of the Chief Executive Officer and Board of Directors.

RESPONSIBILITIES:

The duties of this position include, but are not limited to:

  • Prepare and record asset, liability, revenue, and expenses entries by compiling and analyzing account information;
  • Responsible for monthly closing of financials, including bank reconciliations, expense accrual, prepaids JE, contributed income reconciliation, business insurance tracking and balance account reconciliations;
  • Maintain and balance subsidiary accounts by verifying, allocating, posting, reconciling transactions, and resolving discrepancies;
  • Responsible for Accounts Payable, Accounts Receivable and Fixed Assets;
  • Produce payroll by initiating computer processing and verifying finished product;
  • Assist with completion of external audit by analyzing/scheduling general ledger accounts and providing information to auditors;
  • Prepare and maintain tenant leases and related schedules;
  • Assist with new hire paperwork, enrollment in employee benefits and relevant personnel files;
  • Liaise with staff in other departments to communicate financial information;
  • Attend specified evening and weekend events as required; and
  • Other duties as assigned.

QUALIFICATIONS:

  • Bachelor’s degree in Accounting or 8-10 years of experience in accounting/finance.
  • Extensive experience with nonprofit financial operations including thorough knowledge of GAAP and Fund Accounting;
  • Experience working in a nonprofit setting; knowledge of the performing arts and non-profit management;
  • Experience running payroll;
  • Ability to multi-task successfully;

POSITION CONCEPT:
This is a freelance, gig-based, over-hire position. There are no set hours week to week. Venue Associates at the Boston Center for the Arts work within the Operations department and support the Venue Manager. Venue Associates will work as general hands in various spaces and support event rentals across our campus. The Venue Associates help ensure our venues align with the safety standards of the Boston Center for the Arts and governing safety entities, and they will also serve as an ambassador for the history and mission of BCA.

Responsibilities include:

The duties of this position include, but are not limited to:

  • Serve as a representative of BCA for vendors and clients using BCA-operated spaces, including but not limited to the Cyclorama, Mills Gallery, and Plaza Theatres spaces.
  • Assist with ensuring public safety.
  • Provide production support for events and maintenance in BCA spaces, as necessary. This may include painting, cleaning, building, maintaining, setting up, operating, and breaking down various on-site equipment.
  • Assist Venue Managers in supervising heavy vendor load-ins, installs, and strikes.
  • Work possible early morning shifts and/or late night and overnight shifts. See job structure and rate for info regarding cab/rideshare reimbursement.
  • Enforce BCA policies with outside vendors and clients.
  • Maintain clean, organized, and safe operation and maintenance of venues and outdoor public spaces.
  • Assisting the Operations department with maintaining venue-specific inventories and paperwork.

Knowledge and Qualifications:

The successful candidate will possess most, if not all, of the following:

  • Have at least two years of experience working in theatre, live events, or house management or have a
    relevant college degree.
  • Basic knowledge in technical production or live event work is a plus. This includes but is not limited
    to lighting, stage management, carpentry, electrical, audio, rigging, and/or staging.
  • Ability to operate basic hand and power tools.
  • Ability to lift a minimum of 50 pounds and be active and attentive for long periods of time.
  • Strong ability to manage event-specific technical issues and requirements.
  • Crowd management certification and crowd management training (will be provided by the BCA).
  • Strong customer service skills and experience working in a fast-paced environment.

BCA will reimburse cabs or rideshare rides taken when working past midnight and before 6am when a reimbursement application is submitted within two weeks of the event.

This position must work in-person, on-site at the BCA campus; there is no option for fully remote work. Additionally, it is a requirement for all staff to provide proof of COVID-19 vaccination and boosters and adhere to all safety regulations.
